Job Description

Essential Functions:

  • Develops an overall plan for repairs, maintenance and replacement of University vehicles including, specialty vehicles such as buses, police vehicles, trucks and other vehicles of high and low speed.
  • Creates yearly plan for capital expenditures related to fleet repair, maintenance and replacement.
  • Evaluates the condition of all University vehicles regularly through a vehicle audit which documents the current condition of the vehicles.
  • Maintains compliance with state inspection requirements and licensing standards.
  • Creates a driver effectiveness report and advises senior management of problems
  • Evaluates effectiveness of daily operations regularly and systematically reports the results to the VP of Facilities.  Performs periodic cost and productivity analyses.
  • Develops and implements university policies and procedures related to fleet management and operations.
  • Develops the revolving fleet operations budget and manages expenditures within approved budget.
  • Provides monthly reports on various performance metrics. Reports should reflect the monitoring of trends, anomalies, and opportunities for continuous improvement, enhanced workflows, and optimized processes; executes operational improvements recommended in reports.
  • Builds a positive safety culture and ensures overall EHS compliance both within the Fleet department and informs and monitors safety compliance who have vehicles assigned specifically to them.
  • Maintains and manages vehicle asset and supply inventory
  • Responsible for the evaluation and administration of third-party software system for vehicle reservations and in-vehicle data reporting
  • Oversees training for vehicle users and ensuring all training is conducted in accordance with State standards and university policies
  • Handles special projects and events related to Facilities, Events, and Campus Operations as it pertains to fleet operations

SUPERVISORY RESPONSIBILITIES:  Directly supervises departmental employees responsible for fleet management and operations. Oversees department staff of regular employees and/or temporary and student workers.

  • Knowledge of transportation industry and vehicle repair and maintenance
  • Knowledge of applicable codes and regulations related to vehicles and vehicle operations in a University setting
  • Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
  • Knowledge of budgeting principles and practices
  • Knowledge of vehicle operation laws and regulations
  • Skill in the use of personal computers and related software applications.
  • Knowledge of organization structure workflow and operating procedures
  • Knowledge of typical procurement practices as pertained to fleet purchasing
  • Analytical and quantitative skills.
  • Ability to read, understand, follow, and enforce safety procedures.
  • Ability to work with sensitive, con?dential information discreetly, ethically, and in accordance with university policies and state policies.
  • Act collaboratively to solve problems and resolve spontaneous and unique situations with professionalism and service orientation
  • Work irregular and flexible hours as required.

    Minimum Qualifications:

  • Bachelor's degree
  • Commercial Driver’s License
  • Knowledge working with computerized work management systems and common IT applications
