Fleet Administrative Support II

Primary Responsibilities /Accountabilities/Essential Functions:

  • Oversees and manages Fleet Commander system, both maintenance and reservations.
  • Provides customer service to GCU athletics, clubs, and staff assisting with forms, submissions, and procedures and responding to inquiries relating to vehicle reservations.
  • Manages all Fleet reservation requests within service level agreement.
  • Conducts driving background checks through Sterling where required.
  • Ensures access to the key kiosk for all registered drivers.
  • Assist as needed with daily and end of reservation vehicle triage, fueling and detailing for all reservable vehicles.
  • Inputs maintenance work orders for all reservable Fleet vehicles in Fleet Commander or FAMIS 360.
  • Enters Coupa Purchase Orders when necessary for reservable fleet.
  • Coordinates emissions testing for entire GCU fleet.
  • Maintains and updates emergency contact and accident info for reservable fleet.
  • Assist with entire fleet vehicle insurance listing.
  • Assist with entire GCU Fleet vehicle registrations and renewals with the state of Arizona.
  • Daily viewing of the Fleet organizational email account to ensure cliental are receiving great customer service
  • Other duties as assigned.

Equipment Used and Responsibility

  • Integrated Work Management System (iWMS).
  • Microsoft Office, Excel, Word, Teams, SharePoint and Outlook.
  • Fleet specific programs (AgileFleet, Geotab)
  • This position requires a 40-hour work week schedule; also, may request over time as needed.

Supervisory Responsibilities

May supervise student workers, to include managing daily and weekly schedules/tasking, coaching performance, and providing details for yearly performance reviews supervising student workers.

Experience/ Education

  • High School diploma or equivalent
  • Experience with Facility and Operations Management principles, preferred
  • Must pass pre-employment background investigation.
