Facilities Resourcing Associate
Primary Responsibilities /Accountabilities/ Essential Functions:
- Assist with inventory and warehouse operations within the Facilities Department, supporting staff and ensuring tasks related to receiving, issuing and storage of materials are completed in accordance with procedures.
- Manage inventory to record deliveries, shipments, usage, and stock levels.
- Receive, issue, and monitor inventory within the Computerized Maintenance Management System (CMMS); issue inventory against work orders.
- Conduct regular inventory audits and propose strategies to improve inventory control procedures and reduce costs.
- Evaluate product levels to anticipate inventory shortages or overages; optimize delivery and shipment schedules.
- Communicate with warehouse staff to ensure productivity and resolve operational issues.
- Serve as a requesting agent for facilities-related purchases.
- Collect, review, and input purchase receipts with proper accounting codes; follow up on missing or delayed documentation.
- Maintain files for contracts, vendor quotes, and purchasing documentation; assist in obtaining necessary authorizations.
- Generate purchase requests with proper justification and ensure competitive bids are obtained.
- Monitor purchases and investigate unusual charges or inconsistencies; assist with audits and provide reporting.
- Maintain and update the department vendor list, source new vendors as necessary.
- Develop, maintain, and distribute reporting tools, including Excel-based and web/cloud-based metric reports.
- Analyze department spending, inventory trends, and vendor performance to support planning and budgeting.
- Other duties as assigned.
Equipment Used and Responsibility
- Integrated Work Management System (iWMS).
- Microsoft Office, Excel, Word, Teams, SharePoint, and Outlook.

Experience/ Education
- High School diploma or equivalent.
- Preferred experience in purchase order management or warehouse operations.
- Must pass pre-employment background investigation.
