Facilities - Administrative Assistant

Grand Canyon University is currently seeking an Administrative Assistant for the Facilities Department.  This position will be responsible for scheduling appointments, responding to general inquiries and managing administrative duties. Days and schedule may vary occasionally.   

Responsibilities:

  • Answers phone, takes messages as necessary.
  • Communicates with external vendors
  • Composes and distributes routine Facilities Management move correspondence, including internal transfers.
  • Manages administrative processes and creates reports as necessary.
  • Maintains data and records in FM Systems for Move Management.
  • Creates purchase orders.
  • Organizes and maintains documentation needed to pay invoices.
  • Maintains project files and excel spreadsheets for new construction orders.
  • Oversees Facilities student workers.
  • Reconciles petty cash.
  • Other duties as assigned.

Qualifications:

  • High School Diploma or general education degree (GED).
  • One to three years related experience and/or training.
  • Valid Arizona Driver's license in good standing; must be insurable.
  • Proficient in spoken and written communications in English and Spanish, helpful.
  • Proficient with Microsoft Office software products including Word, Excel and PowerPoint and other computer-based systems. 
  • Provide a positive example to students by supporting the University’s Doctrinal Statement, Ethical Position Statement and Mission of Grand Canyon University.
